Contact Deletion and Recovery

All too often, in most systems, masses of contacts get deleted accidentally. Not only does Business Administrator have a Grace Period for deleting contacts, it is also not possible to delete contacts en masse. Except through this Contact Deletion and Recovery dialogue.

Overview

For Business Administrator, and most businesses, contact details are a precious commodity. Their accidental deletion can be a clear threat to business harmony. Business Administrator offers two systems to prevent this happening. First, it will not allow mass deletion of contacts, and, secondly, it offers a Grace Period before the contact is actually deleted.

The default Grace Period for deleting contacts is 14 days. To edit the deletion Grace Period, visit Business Manager, select the business that applies (if there’s more than one), click Policies, and you’ll find it in the Q&A. The minimum number is 14 days, and the maximum is 60.

You can view contacts that are about to be deleted in two places: firstly in Contact Manager, where you can select Deleted Contacts from the Categories drop down box, and, secondly, in this form.

When this dialogue has loaded, it will present you with a list of all the contacts on the left hand side. To request a bulk delete, select the contacts you want to delete from the left hand side, and drag them to the list on the right, in red. When you close the dialogue box, those contacts on the right hand side will be deleted.

Note that Business Administrator will not allow deletion of useful contacts: suppliers, customer, staff, etc.

If you open this dialogue box, and contacts have already been marked for deletion, then they will appear in the red box on the right. If you wish to recover them, then simply drag them to the box on the left.

Expiring contacts

It is also possible for Business Administrator to choose to delete contacts. One event where it will do this is when you have bought a marketing list, and the list has expired a year or so later. Business Administrator will automatically move to delete the contacts. It still follows the Grace Period rules, so you may be able to recover them if you catch it in time.
